The Thai Student and Alumni Association in Denmark (“TSAAD”, “we”, “us”) operates the TSAAD membership system. This policy explains what personal data we collect, why, and your rights.

What we collect

  • Membership profile you provide via our registration and profile-update forms: your name (Thai and English), nickname, phone number(s), email address(es), university and education details, graduation year, current status/affiliation, position and employer (if any), interests, and any comments you choose to share.
  • Your Google account email address, when you sign in with Google to open a profile-update link. We request only your email address (userinfo.email) — nothing else from your Google account (no contacts, no files, no profile photo, no other data).

How we use it

  • To administer your membership and keep our member records accurate.
  • To verify your identity before you view or change your own profile — we compare the email of the Google account you sign in with against the email registered to your membership. This is the sole purpose of the Google sign-in.
  • To send you membership communications and, if you opt in, our newsletter.
  • To produce a members’ directory used within the association and, in aggregate/anonymised form, shared with the Royal Thai Embassy in Copenhagen and published as community statistics on our website. Aggregated figures never identify individual members.

Google user data — limited use

TSAAD’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Specifically: we access only your Google account email address, use it only to verify your identity for your own membership actions, do not share it with third parties, do not use it for advertising, and do not allow humans to read it except as needed for the sign-in verification described above.

Sharing

We do not sell your data. We use Google Workspace services (Google Forms, Sheets, Gmail, and Apps Script) as our processor to run the membership system. We do not share your personal data with any other third party, except aggregated statistics as described above or where required by law.

Retention

We keep your membership data for as long as you are a member. If you leave or ask us to erase your data, we remove your personal details and keep only a minimal, non-identifying record for our accounts and audit obligations.

Your rights

Under the EU/Danish General Data Protection Regulation (GDPR) you may access, correct, or erase your data, object to or restrict processing, and withdraw consent at any time. You can update your own profile through the update link we email you, and you can terminate your membership or erase your data yourself from that page — or contact us at tsaad.work@gmail.com. You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet).
